Canton Fair and China Exhibitions: Visa Document Preparation

Prepare an event-specific China visa file by aligning the fair invitation, company role, exhibition dates and business itinerary without assuming approval.

Preparing for a trade fair involves two separate tasks: arranging attendance and explaining the business visit in the visa file. A registration confirmation may help organise the event visit, but it should not be assumed to replace the invitation or other evidence requested for the application.

The New Delhi M-category checklist includes trade-fair invitations within business-purpose supporting evidence. This does not create a guaranteed “Canton Fair visa.” Start with the actual activity; the business visa guide explains the broader category context.

Identify the exact event and your role

Write down the exhibition name, session or edition, venue, relevant attendance dates and why your company is sending you. For a multi-phase event, “attending Canton Fair” alone may leave an avoidable gap between the invitation and itinerary. Check the phase relevant to your products using the organiser's current information rather than an old event calendar.

Then describe your role accurately: buyer, company representative, exhibitor or another genuine capacity. Attending meetings or viewing products is not the same factual activity as taking employment or carrying out work in China. If the trip includes installation, paid services or another activity beyond attendance, explain it to the handling centre instead of selecting a category solely because the venue is a fair.

Keep registration and invitation documents distinct

The Canton Fair's official representative office describes requesting a session-specific invitation through its BEST service. Use current organiser channels, and check which document you have actually received. A buyer account, badge arrangement and invitation perform different practical functions.

  • Check that the invitation relates to the intended session and applicant.
  • Compare event dates with the proposed arrival and departure plan.
  • Keep the organiser's message with the document so you can identify its source.
  • Ask the issuer to correct mistakes; do not alter an invitation yourself.

For the wider inviter and company-document checks, follow the business invitation document guide. An event document should be assessed against the applicable checklist, not treated as an automatic exemption from the rest of the file.

Explain the Indian company connection

Your supporting account should make your relationship with the Indian business understandable. Compare the job title or business role, company name, reason for attendance and stated funding arrangement across the documents you are using. If you are the proprietor, a director or an employee, describe that actual position rather than borrowing wording from another traveller's cover letter.

A useful preparation note answers three questions: what does the business do, why is this particular event relevant, and what will this applicant do there? This is a drafting aid, not a new mandatory document or a prescribed letter format. Follow the current centre's requested supporting evidence.

Build one coherent fair-and-supplier itinerary

A trip can include an exhibition and separate supplier meetings. Distinguish them in the plan. For example, identify the fair attendance period, then the proposed meeting city, organisation and purpose. Do not imply that the organiser is hosting or funding every part of the trip unless the evidence says so.

If meetings change, check the affected supporting material as well as the itinerary. Avoid adding speculative appointments to make the file look stronger. Keep confirmed arrangements and tentative plans accurately described, and answer any official follow-up from the actual records.

Final review before the application

Compare applicant identity, event session, company role, visit dates and supporting issuer across the final file. The invitation supports an explanation of purpose; the authorities decide whether to issue a visa and on what conditions. For preparation assistance tied to the event, see the national Canton Fair service or exhibition and trade-fair service. The application guide covers the official process stages.

Official information checked
