Review how the applicant, Indian company, Chinese inviter and commercial itinerary should align in a China business visa invitation file.
A business invitation does not stand alone. It should describe the same genuine commercial trip as the applicant's form, the Indian-side business record and the proposed itinerary. A polished letter cannot repair contradictions between those four parts.
What current M-category guidance asks an invitation to establish
New Delhi's current M-category page lists documents concerning commercial activity from a Chinese trade partner, a trade-fair invitation or similar relevant evidence. Its published invitation requirements cover:
- the applicant's identifying information;
- the purpose, arrival and departure dates, places and relationship with the inviting party;
- financial-support information for the stay;
- the inviting party's name, telephone number and address; and
- the applicable official stamp and signature.
The current page also publishes supporting requirements concerning the inviting party's business licence and inviter/legal-representative identity, plus a personal or company covering letter. These details are freshness-sensitive: check the live India page before finalising the file.
The four-way consistency model
| Part of the record | What it should establish | What it should align with |
|---|---|---|
| Applicant | Identity, role, passport details and reason for travelling | Form, Indian company letter, invitation and schedule |
| Indian company or business context | Why this person is making the trip and the commercial relationship | Applicant role, Chinese inviter, funding and activities |
| Chinese inviter | Legal/contact identity, relationship to the visitor and invitation responsibility | Licence/identity evidence, invitation and form |
| Travel purpose and itinerary | What commercial activity will occur, where and when | Invitation dates, meetings/fair registration, accommodation and form |
Check the applicant information
The invitation should identify the person actually travelling. Compare the spelling and order of the name, gender and date of birth with the passport and form. If a passport has changed, handle previous-passport or visa evidence according to the current checklist instead of copying an old passport number into a new invitation.
Check the inviter and company details
Confirm that the Chinese entity named in the invitation is the same party supported by the accompanying company material. Names, address and contact details should not switch between related companies without a truthful explanation. If an individual signs for a company, the role and identity evidence should fit the current center's requirement.
Do not paste a copied seal or signature into a document. Current New Delhi guidance includes specific licence-copy annotation/signature instructions, so the Chinese inviter should review the live official wording rather than relying on a generic internet template.
Check the purpose, dates and activities
“Business visit” is too vague if the rest of the file describes supplier discussions, factory visits, negotiations or exhibition attendance. State the real activity in consistent terms. Arrival/departure dates and cities should agree with the application and schedule. Where one party funds the trip, the invitation and Indian-side material should not attribute the same costs to different parties.
Employment and commercial travel are not interchangeable. An M-category invitation should not be used to disguise work or long-term employment.
Indian company or self-employed context
An employee's covering material should accurately explain the role, trip purpose, relationship with the inviter and funding. A proprietor, director or self-employed applicant should use documents that truthfully establish that status rather than manufacturing an employee letter. Only provide corporate or financial evidence that is current, relevant and requested.
Supplier meetings, exhibitions and the Canton Fair
For the event-specific preparation beyond the invitation itself, use the trade-fair document guide.
A supplier visit may be supported by the trade partner's commercial invitation. Exhibition participation may instead involve organiser registration or a trade-fair invitation alongside the broader business record. The invitation source changes, but the applicant, dates, activities and funding still need to align.
For event-specific private assistance, see the exhibition and trade-fair page or Canton Fair page. These do not replace the official M-category checklist.
Invitation document review
- Match applicant identity to the passport.
- Verify the inviting entity's name, contact details and supporting identity.
- State the genuine commercial purpose.
- Align dates, places and planned activities.
- Explain the business relationship and funding consistently.
- Confirm current signature, stamp, licence and identity requirements.
- Compare the invitation with the form and Indian-side letter.
Do not use a fabricated “Embassy template.” The authority may ask for additional material or an interview and retains the visa decision. A complete-looking invitation does not guarantee approval.
How this fits the wider application
The existing China Business Visa Guide covers category choice and the overall preparation process. Use the document checklist for the full file and the common mistakes guide for a final cross-document review. The business visa assistance page explains available private support.
