Passport collection is a document handover; check the returned passport and any visa before relying on it for travel. Confirm the collection method, required receipt or authority document, and the actual outcome. A collection message alone should not be treated as proof that the visa requested has been issued.
Agree the collection route in advance
Ask whether you will collect personally, send an authorised representative or use an available delivery option. Obtain the handling centre's current instructions. An arrangement with a private provider is separate from the centre's rules, and a delivery option offered by one centre is not a nationwide guarantee.
The Mumbai passport-collection FAQ distinguishes courier and counter collection and specifies documents for representative collection. In particular, it calls for an original typed authority letter for that route. Check the current page rather than assuming a scanned authorisation will be accepted.
At handover, check the practical details
- Is this the correct passport for the applicant?
- Have the documents due to be returned actually been received?
- Does any accompanying message explain a decision or further action?
- If a visa is present, do its personal details match the passport?
- Have you retained the receipt and a record of receipt or delivery?
For a family or company group, check each passport separately. Similar names and several receipts make it particularly important to match the applicant, passport and returned document set.
Read the issued permission, not only the requested trip

If something looks wrong
Contact the issuing/handling authority promptly through its official channel. Describe the mismatch accurately and follow its correction instructions. Keep your travel plans flexible while the issue is resolved. A private provider can help communicate or organise records, but cannot amend an issued visa or guarantee border admission.
Delivery and custody are separate responsibilities
If documents are delivered, verify the recipient address and agreed tracking/receipt process. Open and check the returned items promptly. Report a missing or damaged item through the relevant provider's process; do not assume that a tracking status establishes what was inside the package.
