Check the receiving institution, India–China treaty position and current legalization route before arranging authentication of Indian documents.
For an Indian document intended for use in mainland China, first confirm the receiving organisation's requirements and the applicable authentication route. Do not assume that an apostille, consular legalization, translation and a visa application are interchangeable steps.
Why “China joined the Apostille Convention” is not the whole answer
The HCCH treaty notification record records India's objection to China's accession. The HCCH Apostille Handbook explains the effect of an objection on the Convention's operation between the relevant parties. Generic instructions written for documents from another country may therefore give an Indian applicant the wrong route.
Check the current treaty position and the competent authorities for the specific document. This guide concerns mainland China; do not automatically apply it to Hong Kong, Macao or a different country of issue.
Start with the document's intended use
| Question | Information to obtain |
|---|---|
| Who will receive it? | The university, employer, authority or other organisation and its written requirement. |
| What document is needed? | Exact certificate, issuer, original/copy format and whether a recent issue is required. |
| Why is it needed? | Admission, employment, family evidence or another stated purpose. |
| What authentication is requested? | The recognised route and any preliminary verification needed for that document type. |
| Is a translation required? | Language, translator qualifications and certification requirements, if specified. |
The published New Delhi legalization starting point
The New Delhi legalization guidance describes Indian Ministry of External Affairs authentication before submission to the centre, with an application form, identity and document evidence, and additional agent evidence when applicable. Confirm the current procedure and any document-specific preliminary steps before paying or dispatching originals.
That published sequence is not a statement that every certificate in every visa file requires legalization. It also does not establish that the receiver will accept a document for its intended purpose merely because signatures or seals have been authenticated.
Keep visa evidence separate from institutional requirements
A university may request a document for admission or enrolment while the visa category has its own supporting checklist. Identify which request you are satisfying. The student document guide separates admission, visa and authentication needs; the family-visit guide addresses relationship evidence.
Resolve uncertainty before handling originals
- Obtain the receiver's exact instruction rather than a broad request to “attest everything.”
- Verify the issuer, names and dates against the applicant's records.
- Confirm the current route with the relevant authority or centre.
- Agree which originals will be handed over, to whom and how receipt/return will be recorded.
- Retain copies and the instructions supporting the chosen route.
Do not detach attachments or alter a certificate to solve a mismatch. Ask the issuer or receiving organisation how a correction should be made.
Private preparation support
The document-attestation assistance service can help organise the enquiry and available records. Visa Expertz does not issue government authentication, decide treaty applicability or guarantee institutional acceptance.
